Prudential Orchid Isle Properties goal is to provide on Island representation as required by the Landlord Tenant Code, relieve the property owner from the problems associated with property management and to maximize the return on your property.  We are a full service real estate company, with a progressive Rental Division.  Prudential Orchid Isle Properties strictly adheres to the Hawaii Residential Landlord Tenant Code as well as State and Federal Fair Housing Laws.

 The following are some of the more common concerns or questions property owners have when interviewing a Property Manager.

              1)  Initial Startup-We require a $200.00 owner reserve.  This is to cover any incidental costs for cleaning, yard upkeep, minor repairs, advertising expenses, and for any potential future emergencies.  Once we receive the Property Management Agreement, insurance declaration adding POIP on policy and the owner reserve, we can begin immediate advertisement and placement of a tenant in the property.

              2)   Rental Rates-The rent amount will ultimately be what the market will bear. We will keep you posted on the response from the ads and prospective tenant’s feedback. 

              3)   Initial Inspection-We will suggest ways to get your property in a condition ready to be rented.  This may include having the carpets professionally cleaned so we can demand it of tenants at vacating.  Also any general cleaning and any repairs that may be needed.  These steps will help get you a more qualified and better tenant.

             4)    Insurance- You must contact your insurance Agent to inform the company that your property will be used as a rental. Prudential Orchid Isle Properties needs to be added as additionally insured to your policy. A declaration page with our company name is required to begin services.

             5)   Advertising- We will advertise in the daily newspaper. All costs are the owner’s responsibility and will be billed on your statement.  Prudential Orchid Isle Properties has a Property Management page on our website that draws many inquiries and your property will be featured here.  We also receive phone inquiries, referrals from our sales agents, and walk ins.

             6)    Tenant Selection- Each prospective tenant must complete a rental application.  Thorough screening is made from the information provided as well as a credit check at the tenants’ expense. Prospective tenants must provide verification of income.

 

             7)    Check –In\Check-Out- An inventory and condition form are completed upon check-in of a new tenant.  Upon check-out the inventory and condition form are checked for any discrepancies or damages.  Normal wear and tear is not chargeable to the tenant.

 

            8)   Repairs- When repairs are needed, we will initiate work on the owner’s behalf.  If the costs exceed the balance in your account, you will need to send payment immediately so we can proceed with the repairs.  In an emergency, we will initiate work to prevent further damage to the property and to maintain items provided in the tenants lease ie; stove, refrigerator, hot water heater, water catchment system etc.

 

            9)    Owner Statement- Your income and statements are processed between the 10th and the 15th of each month if your tenant makes their rent payment on time.  Monthly income checks can either be mailed to you with a statement of accounting or we can make deposits each month to a local East Hawaii bank. We can provide withholding and payment of your General Excise Tax, maintenance fees, association dues, etc at no extra charge providing you have sufficient funds to make these payments.

 

          10)     Failure To Pay Rent- If a rent is not paid within five days of the due date; we will do our utmost in collecting the delinquent rent and late fees. The tenants will be sent the notices as provided for in the Landlord Tenant Code. Owners will be notified if rent is uncollectible.  After the necessary timeframe has passed from the receipt of notice by the tenant, you must secure an attorney to begin the process of Summary Possession.
